This calculator does not assume delivered fuel is cheaper per gallon. It takes what you pay at the pump (default: the AAA Miami average, dated), the live delivered price for your ZIP (it follows the day's market), and the cost of the pump stop itself: paid driver minutes, detour miles, card and transaction fees, and the receipt that someone has to reconcile. Each line is shown with its real sign, and the net is the number to decide on.
At today's prices the fuel line often favors the pump by a few cents a gallon. Delivery pays when the time and miles your drivers spend fueling cost more than that spread, which is why every assumption is editable. How the calculator works
- Vehicles × monthly miles ÷ MPG gives the fleet's gallons per month.
- Fuel line: gallons × (delivered price − pump price). Positive means delivery costs more on the gallon itself.
- Driver time: vehicles × stops per week × 4.33 weeks × minutes per stop, at your loaded hourly rate.
- Detour miles: stops × round-trip miles × your vehicle cost per mile.
- Fees: pump spend × card or processing rate, plus any per-transaction fee.
- Receipt handling: minutes per receipt at a back-office rate.
- Net = time + miles + fees + paperwork − fuel line. The break-even delivered price is also shown.
Where the defaults come from
The pump price defaults to the AAA Miami metro average on the date shown in the tool; overwrite it with your card statement. The delivered price is fetched live from the same estimate the quote card uses, so it moves with the day's market. 30 minutes per stop sits below the 45 minutes that larger on-site fueling operators publish; $28 per hour is a loaded rate (wage plus burden) for a South Florida CDL driver; 4 detour miles and $0.75 per mile are deliberately modest; 2 percent covers typical fleet-card processing. Dyed off-road diesel is compared against the clear diesel a crew would otherwise buy and haul, because dyed fuel is not sold at stations.
What the result means
A positive net means delivery saves you money once the whole pump stop is counted, not just the gallon. A negative net is a real answer too: at your volume and stop pattern, the pump is still the better fit, and the tool tells you the delivered price at which that flips. Fleets with trucks parked in one yard overnight, equipment that cannot drive to a station, or drivers on paid time at the pump see the largest effect. When the Calculator Is — and Is Not — Accurate
This calculator produces a directionally useful estimate, not a binding quote. It is most accurate for fleets with relatively consistent monthly mileage, a single primary fuel type, and on-site tank capacity or recurring delivery access. It is less accurate for operations with highly variable duty cycles (seasonal construction, event-driven usage), mixed fuel profiles (gasoline fleet plus diesel equipment), or facilities that would need tank installation before switching from retail. For those cases, a live quote from our dispatch team accounts for volume commitments, delivery cadence, tank logistics, and current regional fuel market conditions — all of which move the number beyond what a five-input calculator can reflect.
